Challenge
Three agents and one admin shared a single inbox that received 80 to 120 emails per day. Time-sensitive tenant requests were regularly missed because the inbox was read in no particular order. The team had tried folder rules before but nobody maintained them.
What we did
We defined six categories with the office manager, configured the sorting layer, and spent two weeks checking the results against what the team was actually reading. Three categories were adjusted after the first week based on their feedback. Anything uncategorised went to a "check this" group at the top.
Result
The team reported spending approximately two hours less per day across all three agents reading the inbox. No tenant-critical emails were missed in the two months following setup. The system has been running for three months with no further adjustments needed.

Challenge
The business was onboarding three new cold-chain suppliers simultaneously and received agreements totalling over two hundred pages in the same week. The owner needed to understand the key commitments before signing but had no time to read them in full.
What we did
We processed all three agreements and produced one-page briefs for each. Payment terms, notice periods, exclusivity clauses and a minimum order commitment that was buried in an appendix were all flagged. Each extracted line included the clause number for verification. One clause — a limitation of liability cap — was flagged as needing legal review.
Result
The owner was able to review all three briefs in under an hour and enter negotiations with full knowledge of the key terms. The minimum order clause in the appendix was successfully renegotiated before signing. The business has since used the service for five additional contracts.

Challenge
The firm's operations manager of seven years resigned with four weeks' notice. She had set up and maintained all internal tools — project management, billing, document storage, client communications. No documentation existed and the incoming person had no prior relationship with any of the systems.
What we did
Over three weeks we ran structured sessions with the outgoing manager, documented every system with the configuration reasoning included, recorded 22 short walkthroughs, compiled a complete list of subscriptions with costs and renewal dates, and ran a four-hour working session with the incoming person using the documentation as the guide.
Result
The incoming operations manager was able to take over the role fully functional on the first day after the working session. Two months later, the firm's director noted that one subscription had been cancelled (using the renewal date list) and one system reconfigured — both done independently without calling Sauh Digital.
